JOB OPPORTUNITY: Project Manager (Major Depression Disorder Minds for Primary Care)

The World Organization of Family Doctors (WONCA) is a global not-for-profit organization representing 132 professional associations of family doctors from 111 countries and territories (www.globalfamilydoctor.com). Our mission is to improve the quality of life of the peoples of the world by promoting the development of general practice/family medicine globally, fostering high standards of care, and disseminating information concerning the educational, research and service provision aspects of our discipline.


The WONCA Working Party on Mental Health is launching a 30-month project to enhance the quality of care for patients with major depressive disorder in Africa/Middle East, Asia and Latin America. The objectives of this multi-phase project are to build content, identify and educate regional faculty, and use the newly trained faculty to provide education for family doctors and other primary care professionals. The program will include online training on clinical issues plus skill building on communication with patients and other physicians. In the final phase, a quality improvement activity will take place in the projects three geographic locations.

Project Manager

WONCA is looking for a Project Manager who will work autonomously under the authority of the WONCA CEO and under the supervision of the Strategic Management Team. He/she will manage, monitor, implement and evaluate all aspects of the entire project management life cycle (including operational, administrative, financial and dissemination tasks according to the grant agreement). The Project Manager will take care of the day-to-day management of this project.


The Project Manager is responsible for a list of tasks, including, but not limited to:


1. Steering Committee coordination and project management

Scheduling and organizing project meetings (including agenda, online calls scheduling, venues booking and preparation, etc.)

Coordinating, taking notes and reporting on the project meetings (online or in person)

Time management: monitoring activities, deadlines, outputs development, milestones achievement adherence to the planned time schedule

Facilitating the delivery of exploitable results as well as valorisation of project outcomes.


2. Financial management, administration and reporting

Budget and expenditure management, in collaboration with WONCAs accounts manager

Following up payments and ensuring that they are due in time, including recording of invoices with WONCAs account manager.

Supporting the Strategic Management team in communication with Pfizer

Assisting in financial reporting procedures and provide information for audit

Ensuring project implementation, performance of project participants, beneficiaries and contractors

Monitoring contractual obligations (via quality controls, risk analysis, development of deliverables, periodic/final reviews/checks, analysis of use of resources, audits, reporting, etc.)

Checking adherence of project implementation with the requirements as set out in the grant agreement


3. Communication and dissemination

Drafting, implementation, and monitoring of the dissemination plan

Dissemination of project results and learnings, liaising, if needed, with WONCAs Communication Officer (e.g., dissemination of project results via presentations, articles, posts in social media; preparation of presentations for conferences, workshops, and seminars; support in publications)

Contribute to internal communication (e.g., articles or reports for internal dissemination) 


4. Other tasks

Monitoring of the online module usage and tracking the learners in all phases, including monitoring the Train-the-Trainer sessions

Assisting with recruitment of participants, including communication with the region leads

Coordinating with the online content developer, and website and Learning Management System teams for uploading, testing and launch of the learning platform; keeping inventory of the assets, certifications, etc.

Developing of presentations and other tools/resources of content as required based on participant feedback

Managing of the various IT platforms, including the Learning Management System, survey tools, spreadsheets, calendars, etc.


5. In addition

Identification and assessment of funding opportunities (scouting) published by relevant donors (international foundations, charities, etc.)

Supporting WONCA in the preparation and writing of proposals or bid offers

Early identification and networking with potential consortium partners as well as leading negotiations

Regular communication with the Strategic Management team, WONCA leadership and the WONCA Working Parties

Ensuring compatibility and promote synergies with partners and other related projects of WONCA.

Promoting synergies with WONCA activities if relevant.



Your profile

Masters degree in a relevant field, such as business administration, project management or similar

At least 5 years proven experience as project manager

Full IT proficiency (Office, Teams, Sharepoint; task/ project management software such as Asana);

Excellent knowledge of English; other languages, especially Spanish, will be considered an asset

Proven experience in contract negotiations with international cooperation partners

Excellent communication and negotiation skills, and keen on working in a team

Excellent prioritising, time management and organisational skills, with the ability to manage multiple projects and agendas, work independently and within a team, deal with competing demands, and meet deadlines

Proactive approach, excellent problem-solving skills, willingness to take initiative to solve problems independently and creatively

Attention to detail and procedures, focus on quality

Team-oriented approach and team-building skills

Sensitivity to operating within a diverse community and in a multicultural environment

Openness to feedback

Excellent interpersonal and communication skills and ability to communicate in a variety of different formats

A valid passport and a valid EU working permit


What we offer


This is a part-time position (three days per week), with a fix-term contract of 30 months, offered under the Belgian law. 


The working location is in Brussels. The WONCA Secretariat is located in the Brussels Madou area and is easily accessible by public transport. You will have the opportunity to work in an international non-profit within a small, dynamic and supportive team.


We offer a monthly gross salary in line with the non-profit sector, and depending on the level of experience, in addition to a 13th stipend, holiday bonus, and lunch vouchers (€7 per working day). 


Costs relating to travel (economy class) and accommodation for WONCA business will be covered by the organisation. In addition, a per diem will be paid for every day away on WONCA business.
